Moving an office is a huge challenge that can make moving house feel like a walk in the park. 

Darwin removalists Camco Transports are expert at office moves.

Before the move (planning)

  • Work out where your staff will be sitting in the new office, use a floor plan. Measure any large items, desks for example.
  • Number or name all the desks and chairs.
  • At the new location name or number the doors of offices.
  • Label the open spaces, reception, meeting room, and so on.
  • Have ICT check that there are adequate network ports and power where you need it.
  • Get the keys and discuss with your removalist where they will park, check with landlord if in doubt.

 Before the move (communications)

  • Have a reasonable plan for an outage, staff will not be able to carry out normal duties so manage expectations.
  • Discuss your floor plan with the removalist. Send updated plans if they change.
  • For staff be clear when they have to have finished packing and what should not be left for others to do.
  • If you can take staff to the new site so they can familiarise themselves before the move.

 Before the move (packing)

  • Have plenty of labels available, either name or number for each staff member.
  • Advise staff that everything should be labeled and if appropriate where the label should be.
  • Empty filing cabinets, lock them and store the keys safely.
  • Decide who is moving the ICT, if you have ICT support bring them in early, if staff are doing their own provide strong plastic bags for loose items.
  • Label items that are going into shared spaces.
  • Provide additional rubbish bins for items that are culled.

 Before the move (at your new location)

  • At the new office check you have identified all the spaces so the removalist can easily navigate the building.
  • Use masking tape on the floor to show where desks and tables are going.
  • Place a label to match the staff name/number.

 During the move

  • Meet and greet, have a staff member at the new office to meet and assist the removalist with getting started.
  • If the move is big leave a staff member at old location to assist with getting areas cleared out.
  • Concentrate on one area at a time, manage staff so that the removalist can get their job done.
  • Once an area is complete the ICT can be wired up and tested. Moves adds and changes after this time are difficult!
  • If staff will be unpacking their own areas keep walking areas clear and boxes as close as reasonable to their final destination.
  • Check that names/numbers match.
  • Have spare rubbish bins and a designated area for empty boxes.

Before staff arrive

  • Do a final walkthrough, is everything neat and tidy? Do staff have safe access?
  • Can staff find areas?
  • Check that the kitchen and bathrooms are in good order.
  • Perhaps a morning tea to welcome everyone.
